Before Returning Home

Information on the procedures that international students at TUAT must complete before returning to their home country after finishing their studies. In particular, procedures at your local municipal office and Immigration Services Agency are essential. Please be sure to review the information carefully.

1. Procedures at the university

Applying for official academic transcripts, completion certificates, and graduation certificates

You may need this after returning to your home country, so please apply in advance if necessary.

Before returning home, please return all the books you have borrowed.

If you are enrolled in Gakubai or are a member of the University Co-op, please complete the necessary withdrawal procedures before returning to your home country.

2. Housing procedures (dormitory/apartment)

Move-out procedures for TUAT dormitories, TUAT International House, and Hitotsubashi dormitory

Once you have decided on your move-out date, please submit a move-out notice (or a dormitory withdrawal form ) to the residence manager's office.

<Submission deadline>

  • TUAT Dormitories: As a general rule, submit the form at least 10 days before your planned move-out date (check-out is permitted only by the 25th of each month).
  • TUAT International House: In principle, submit the form at least one month before your planned move-out date
  • Hitotsubashi Dormitory: Contact the Plaza Manager's Office regarding the move-out procedures.

Before moving out, please clean your room thoroughly and restore it to its original condition as much as possible. After your room has been inspected by the residence manager, return your room key before leaving.

When moving out, do not leave any garbage or personal belongings in your room. Please dispose of all garbage in accordance with the local disposal rules.

If you need to dispose of bulky waste, please consult the residence manager in advance and follow their instructions.

Moving-out procedures for private apartments

Once you have decided on your move-out date, be sure to contact your real estate agency (or property management company) and complete the move-out procedures in accordance with the terms of your lease agreement.

The notice period required before moving out varies depending on the terms of your lease agreement.

If you notify your property management company of your move-out date late, you may be required to pay additional rent even if you have already moved out. Be sure to check your lease agreement to confirm the required notice period.

Before moving out, please clean your room thoroughly and restore it to its original condition as much as possible. After the final room inspection, return your keys and move out.

Depending on the condition of the room and the terms of your lease agreement, you may be charged for repair or cleaning costs.

If you need to dispose of bulky waste, please follow the disposal procedures and rules of your local municipality.

Cancelling electricity, gas, and water services and final bill statement

Before moving out, be sure to notify your electricity, gas, and water service providers of your move-out date in advance, and complete the procedures to cancel your utility services and settle any outstanding charges.

Please also confirm the service termination date, the date of the final bill, and the payment method in advance.

3. Procedures at your municipal office

Submitting a notification of moving out of Japan 

Once you have decided on your return date, please submit a notification of moving out of Japan to the municipal office where you are registered as a resident at least 14 days before your return date.

When you come for the procedure, please bring your residence card and documents showing your departure date (such as your return flight ticket or e-ticket).

If you have a My Number Card, it will be returned to the municipal office when you complete the procedure.

Withdrawing from the National Health Insurance

After submitting your notification of moving out of Japan, please complete the withdrawal procedures for the National Health Insurance (NHI) at your municipal office.

At the NHI counter, please confirm whether there is any outstanding balance or overpayment of your insurance premiums. If you have any unpaid premiums, please settle them before leaving Japan.

If you bring documents showing your departure date (such as a flight ticket or e-ticket), your NHI card will remain valid until your departure date, and you will continue to be covered by the insurance until then.

If you return to your home country without completing the withdrawal procedure, you may continue to be charged NHI premiums even after your departure.

In addition, if you have unpaid NHI premiums, your future application for a Certificate of Eligibility (CoE) may be delayed.

Claiming a lump-sum withdrawal payment from the National Pension System

If you are enrolled in the National Pension System, you may be eligible to claim a lump-sum withdrawal payment at your nearest pension service office.

4. Other procedures

Closing your bank account

Before closing your bank account, make sure that all utility bills, credit card and mobile phone bill payments, and scholarship deposits have been completed. Then, close your bank accounts at your bank branch.

When closing your bank account, you will need to bring your bank passbook, cash card, identification documents (such as your residence card or passport), and your personal seal (if applicable).

Do not close your bank account until all scholarship payments and automatic withdrawals have been completed.

The Transfer or buying/selling a Japanese bank account in Japan is prohibited by law. Never transfer or sell your bank account to another person.

Cancelling mobile phone and internet services 

Before leaving Japan, be sure to notify your mobile phone carrier and internet service provider of your departure date, and complete the procedures to cancel your services and settle any outstanding charges.

Please also confirm the service termination date, the date of the final bill, and the payment method in advance.

5. Immigration procedures 

Before returning to your home country after graduating or completing your studies at TUAT, you must submit a " Notification regarding affiliated (activity) Institution)" to the Tokyo Regional Immigration Services Bureau using the "Notification regarding affiliated (activity) institution.

You may submit the notification by (1) bringing it to the counter at the Tokyo Regional Immigration Bureau, (2) sending it by mail, or (3) submitting it online through the "Immigration Services Agency Electronic Notification System Portal Site" using a computer or smartphone.

Please note that the Electronic Notification System Portal site cannot be accessed from outside of Japan.

TUAT is also required to submit a notification regarding the acceptance of medium- to long-term to the immigration Services Agency when international students graduate or complete their studies. 

Therefore, before graduation, please make sure to submit your most up-to-date residence card information to the Student Support Office on your campus. 
Residency Procedures

When leaving Japan, return your residence card to the immigration inspector at the departure airport.
Immigration Services Agency: Return of Residence Cards, etc.

After graduating or completing your studies, you are generally required to leave Japan promptly unless you have charged your status of residence or obtained another appropriate status.

International students who already have a period of stay of "2 years and 3 months" or similar, which corresponds to the period of preparation for departure after graduation (completion of studies), will not be granted a change of residence status to "short-term visitor" for preparation for returning home, etc. However, please prepare for departure as soon as possible (within approximately one month).

Please note that even if you still have time remaining on your period of stay, your permission to engage in activities outside your visa status (part-time work) will expire upon graduation.
